Terms & Conditions
1.1. Introduction
These General Terms and Conditions govern the contractual relationship between The Intimacy Hub, a project by Hemelhart Solutions BV located at Oudebaan 130 B, 3360 Bierbeek, Belgium, and its clients. By engaging with our services, clients acknowledge and accept these terms.
1.2. Services
The Intimacy Hub offers the following services:

Ecosystem Packages: Bundled services offering a holistic approach to client needs.

Photoshoots: Professional photography sessions tailored to client needs.

Workshops and Events: Educational and interactive sessions designed to enhance professional and personal development.

Web Design and Hosting: Comprehensive web development and hosting solutions.

Aftercare: Ongoing support following the completion of primary services.

Mentoring: Personalized guidance to support clients' growth and development.
1.3. Booking and Payment

Booking: Clients can book services via our website or by contacting us directly.

Payment Terms: Payments are due upon receipt of the invoice unless otherwise agreed upon in writing. Late payments may incur interest charges as permitted by Belgian law.
1.4. Cancellation and Refunds
Photoshoots, Workshops & Events
Full Refund: Cancellations made at least 14 days before the photoshoot, workshop or event will receive a full refund minus possible transaction costs (e.g. booking costs)
Partial Refund: Cancellations made up until 7 days before the photoshoot, workshop or event will receive a 50% refund.
No Refund: Cancellations made 7 days or less before the the photoshoot, workshop or event will not be eligible for a refund.
Your ticket can be transferred to another person. We need to agree in writing that the person is a suitable replacement to be allowed to transfer the ticket.
If the photoshoot, workshop or event is part of a subscription, it is possible to freely rebook to another one.
The Intimacy Hub Cancellation: If we need to cancel the workshop for any reason, all participants will receive a full refund.
Web Design and Hosting, Mentoring, Ecosystem Packages, and Aftercare: Cancellations and refunds will be addressed on a case-by-case basis, as outlined in individual service agreements.
1.5. Liability
The Intimacy Hub is committed to delivering services with the highest level of professionalism. However, we are not liable for any indirect damages arising from the use of our services. Our liability is limited to the amount paid for the specific service in question.
1.6. Intellectual Property
All materials provided during our services, including photographs, workshop content, and web designs, are the intellectual property of The Intimacy Hub unless otherwise stated. Clients are granted a non-exclusive license to use these materials for personal purposes only.
1.7. Governing Law and Jurisdiction
These terms are governed by Belgian law. Any disputes arising from these terms or our services shall be subject to the exclusive jurisdiction of the courts in Leuven, Belgium.
Privacy Policy
2.1. Data Collection
The Intimacy Hub collects personal data necessary for service delivery, including names, contact information, and payment details. This data is collected through our website, email communications, and during service provision.
2.2. Use of Data
Collected data is used solely for the purpose of providing and improving our services, processing payments, and communicating with clients. We do not share personal data with third parties without explicit consent, except as required by law.
2.3. Data Security
We implement appropriate technical and organizational measures to protect personal data against unauthorized access, alteration, disclosure, or destruction.
2.4. Client Rights
Clients have the right to access, correct, or delete their personal data held by The Intimacy Hub. Requests can be submitted via email to welcome@the-intimacy-hub.com.

Specific Service Terms
3.1. Photoshoots

Client Responsibilities: Clients are responsible for arriving on time and prepared for scheduled photoshoots.

Image Rights: Clients receive a selection of edited images for personal use. Any commercial use requires prior agreement.
3.2. Workshops and Events

Participation: Clients are expected to engage respectfully during workshops and events.

Content Use: Materials provided are for personal use only and may not be distributed without permission.
3.3. Web Design and Hosting

Service Scope: Details of web design and hosting services will be outlined in individual agreements.

Client Content: Clients must ensure that any content provided does not infringe on third-party rights.
3.4. Mentoring

Commitment: Clients are encouraged to actively participate in mentoring sessions to achieve desired outcomes. As mentors we make an effort commitment, no result commitment.

Confidentiality: All discussions during mentoring sessions are confidential.
3.5. Ecosystem Packages

Customization: Packages are tailored to client needs, with specifics detailed in individual agreements.

Modifications: Any changes to package components must be agreed upon in writing.
3.6. Aftercare

Support: Aftercare services are designed to provide ongoing support post-service delivery.

Duration: The duration and scope of aftercare will be specified in service agreements.
Support Services
4.1. Support Line
The Intimacy Hub offers a dedicated support line for client inquiries and assistance during their services.
Availability: Monday–Friday, 9 AM–10 PM (CET).
The Support line needs to be booked in advance as defined by the service agreement.
4.2. Emergency Support
Emergency assistance available for urgent issues related to the clients work .
Clients can access emergency support via a designated contact number or email.
Additional fees apply for out-of-package emergency requests.
4.3. In-House Support Pool
A network of private individuals who support professional development at The Intimacy Hub.
Members may join workshops and events as needed and be available for practice sessions.
Participation is voluntary, and members are expected to follow guidelines and respect confidentiality.
4.4. Payment Support
The Intimacy Hub offers payment processing services between clients and their clients.
Ensures efficient transaction management and financial oversight.
Requests for payment support must be submitted as stated in the service agreement and are subject to approval.
